The Construction Takeoff Checklist: 21 Steps Before You Trust the Number
Every estimator who's been burned has a rule they now never skip. This checklist is those rules collected in order — the sequence that catches missed scope, stale sheets, and unit mistakes before they're contractually yours. Print it, adapt it, argue with it, but run something like it on every bid.
Phase 1 — Document control (before you measure anything)
1. Confirm you have the complete set. Check the sheet index against the actual sheets — every discipline, every sheet number. The one you're missing is the one with your scope on it.
2. Log every addendum, and re-issue affected sheets. Quantities pulled from superseded sheets are the most preventable takeoff error there is. Mark superseded sheets DEAD so nobody measures from them.
3. Get the specs, not just the drawings. Divisions 03–33 carry testing, substitution, and warranty language that changes what you're actually pricing. (Spec-reading guide here.)
4. Read the general notes and the geotech before the floor plans. Ten minutes here reframes everything you measure after.
5. Note the bid form's units and breakdown up front — measure into the buckets you'll bid in, not into a pile you'll re-sort at midnight.
Phase 2 — Setup
6. Verify the scale on every sheet you'll measure — against a written dimension, not the title block. Reprographics half-sizes sheets; title blocks don't update.
7. Write down your counting rules. Centerline vs. face-of-wall, openings deducted or carried through, waste factors by material. Consistency beats cleverness — and whoever checks your work needs the rules to check against.
8. Set up separate measurement types per assembly — interior vs. exterior walls, slab types, wall heights. One undifferentiated total is an estimate you can't defend. (Why the interior/exterior split matters.)
Phase 3 — Measure (in an order that catches gaps)
9. Work systematically — same direction, every sheet, mark as you go. Room by room or grid by grid; never freestyle. Unmarked = uncounted or double-counted.

12. Counts third — fixtures, doors, devices, drains — with named categories and visible markers so every count is auditable on the sheet.
13. Volumes last — concrete by element type, excavation with depth and swell stated, cut/fill from the grading plan with bank vs. loose yards labeled.
14. Measure the site sheets, not just the building. Utilities, paving, curb, silt fence — sitework scope hides on C-sheets at unfamiliar scales.
Phase 4 — Cross-checks (where change orders go to die)
15. Reconcile schedules against drawings. Door schedule vs. doors drawn, fixture schedule vs. fixtures placed. Disagreement = RFI before bid, not after award.
16. Check cross-discipline conflicts on your scope. Structural vs. architectural dimensions, mechanical routes vs. structure. (How AI flags these automatically.)
17. Ratio-test your totals. Drywall SF ≈ wall LF × height × sides. Roof SF ≥ footprint. Concrete CY vs. slab SF × thickness. Ratios that don't reconcile mean a measurement or a rule is wrong.
18. Compare against a similar past job. Same SF, same type — if this takeoff says half the studs, someone's wrong, and it's cheaper to find out now.
Phase 5 — Before the number leaves the building
19. Re-check the final addendum log. Anything drop Friday afternoon? Re-verify the affected quantities.
20. Write your exclusions and assumptions into the bid — the counting rules from step 7 become your scope armor.
21. Keep the takeoff auditable. Every quantity should trace to marked-up geometry on a sheet. If a number in the estimate can't be pointed to on a drawing, it isn't done.
